Pete Muldoon opened the meeting and thanked everyone for their attendance.
Meetings to be held quarterly rather than monthly in future.
Changes in personnel.
1. Matt Roberts has left the committee and Rob Green is now the Acting Chair person
2. Stu Ritchie is now head of music as Pete Youds has left the station.
3. Chris Kelly is now the Co-Ordinator for the station
There will be changes to the music policy.
Any preferences or concerns re music to be raised with Stu Ritchie.
Chris Kelly - Schedule is advertised on the website and there is an obligation for presenters to inform the management if they cannot attend to do their shows. This is important not only for the listeners but also because the supervisors of such shows need to know in order that alternative arrangements can be made. The organisation accepts that there will be valid reasons as to why presenters may have to cancel a show but if the management are not informed in advance, then this will result in the presenters show being cancelled permanently. Chris is happy to supply his telephone number and email address to presenters and can also be contacted through the website forum.
Management must be notified when a show cannot take place
Pete Muldoon – List of names in the studio of people who are technically proficient, who has keys etc. Can presenters be more proactive if there is a problem or if they need the services of a supervisor at short notice.
Presenters can take the initiative and choose to contact colleagues should they need assistance rather than have to contact management.
Joey Rennot offered to assist colleagues with Jingles or Adobe software help
Mike Scowcroft – Use of Myriad can be confusing and there is a need for presenters to perhaps be more informed about the computer software e.g. how to drag and drop music from the wall into the scheduler.
Training issues to be looked at with a view to increasing presenter’s competence when using Myriad in particular.
Joey Rennot/Pete Muldoon – The newsfeed is often being left up on the fader. The beeper that alerted the presenters to this in the past is now inactive for some unexplained reason. Presenters must make sure that the fader is dropped down after the news otherwise music and further newscasts will be mixed should the wall be playing automatically.

Louise Nulty – Analogue and software Digital Clocks are not synchronised. Can they be?
Pete Muldoon - said it was a complicated system as the settings come from Rugby and Germany. The software should be synchronised at least once a day and he appreciated that there was a need to show people what to do. This can easily be arranged.
Presenters should synchronise the clock on Myriad at least once a day and should be encouraged to do this when they spot the difference between the two clocks. Training needs will be addressed.
Mike McDermott/ Louise Nulty – Should we not promote the station more using the local press.
Chris Kelly - agreed but pointed out the expense. It was suggested that there may be other ways of promoting the station in the local press .Any ideas would be welcome but presenters should not actively seek to do this without the consent of the committee first.
Rob Green - is also looking at this issue and leaflets to shops, businesses, taxis etc could be targeted. Rob is busy looking into this issue.
Further discussion by members of the meeting about leaflets and design/logo’s. Joe Rennot offered to assist with printing.
Pete Muldoon - said that we could also use the “Children in Need” logo
Chris Kelly – The website has a new look and has been updated with many thanks to Kirsty. Chris will be using it more to communicate with presenters and encourages presenters to do the same.

Chris Kelly – said a big thank you to those that supervise and for their patients in being contacted, sometimes at the last minute. The requirement to supervise will increase as the broadcasting slots fill up and shows cannot be allowed to be broadcasted unsupervised, if not only for health and safety reasons.
Pete Muldoon outlined the duties of supervisors – to be on time for the duration of the show, to answer doors/telephones, assist presenters if required, make drinks, listen to the broadcast etc. It was also pointed out that some presenters may not want supervisors in the studio at the time of broadcast. This was a matter of preference for each individual and should be respected.
Supervision rules to be adhered to. Supervisors may have to be rotated at difficult periods such as weekend evenings.
Chris Kelly/Pete Muldoon – It was re-iterated that volunteering at the station was a priority and that presenting is not viewed as volunteering. Duties need to be covered by all presenters and can take the form of supervising, 2nd adult, I.T solutions and maintenance, ground clearance outside, building maintenance, web maintenance etc. Most presenters are contributing but there is a handful that do not. These individuals will be asked once more to assist the organisation but if they are not willing to contribute, they will be asked to leave. It is important that the organisation is supported by its members as there is nobody else to help out with the chores.

Chris Kelly - Some presenters have been asked to be CRB checked. The free places that were awarded last year have become unavailable at the end of the financial year. The process is a little complicated but for the organisation to get further places at a reduced cost, there is a fee that has to be paid to the Youth Association. This will be a matter for the committee to consider but for the time being, we are unable to process anymore CRB checks at this time. Pete Muldoon said it was unacceptable for presenters not to progress the checks that they were asked to do months ago and that in future, they should be carried out as a matter of urgency. Chris Kelly said he would assist anyone with arranging the administration of the paperwork with HVA and also be available to transport presenters to HVA to facilitate this.
CRB checks presently on hold but presenters should expedite the process with a matter of urgency when asked.
Pete Muldoon/Chris Kelly – The React course for children and young persons aged 12 – 19 yrs should be promoted. Reports have to be prepared annually and given to benefactors and targets need to be met. It is in the interest of all presenters to promote the course and spread the word. There is no reason why such promotion cannot be done throughout a presenters show and we should all spread the word wherever we can.
